How we work

Initial Discovery

6 weeks

A structured sprint to understand your context and create a clear roadmap for what comes next.

You'll walk away with:

  • A System Audit

A clear picture of how your tools, workflows, and data work together today.

  • A Gap Analysis

Insights into where you can improve, simplify, or unlock more value.

  • An Action Plan

A prioritized plan of the changes that will drive the most impact.

Ongoing Cycles

This is where we deliver the work — focused cycles that create meaningful progress at a pace your team can sustain.

Each cycle includes:

1

Kickoff

Scope and prioritize the most important improvements

2

Check-in

Review progress and clear blockers at mid-cycle

Frequently asked questions

Why Honeystack?

Good systems don't come from one perspective alone. We spend time understanding the big picture of what you're trying to create — and just as much time listening to the people making it happen every day. That's how we design systems that feel natural to use and genuinely support the work.

We're also structured thinkers and easy collaborators, using an iterative, practical process that helps teams build confidence and stronger habits as they go. We care about efficiency, but even more about helping your organization realize its full potential and deepen its impact.

What does a typical cycle include?

The goal of a cycle is to deliver as much value as possible within the short window. It begins with a kickoff to scope and prioritize the most critical work, includes a mid-cycle check-in to review progress and clear blockers, and concludes with a demo to share what was completed, what we learned, and what comes next.

Why work in 6-week cycles?

The time constraint creates focus, urgency, and alignment. It helps us ensure that work stays tied to organizational priorities and avoids drifting into open-ended projects.

Do we have to commit to multiple cycles?

No! You can pause after any cycle, space cycles out over time, or stop anytime. The cadence is flexible and designed to fit your organization.

What happens between cycles?

After each cycle, we typically take a one-week (or longer) pause to reflect, rest, and adjust priorities before starting the next cycle.

How involved does our team need to be?

You don't need to manage the technical work, but your perspective matters. We usually start with a few working sessions with key stakeholders to understand your goals and shape the direction together.

After that, we meet regularly with a primary point of contact to review progress, gather feedback, and decide what to focus on next. These meetings are collaborative working sessions where we demo progress and refine the system together, while we carry the work forward between conversations.

How do nonprofits typically work with you?

Most nonprofits begin their work with us in a Discovery phase, followed by a series of focused cycles—typically five to start. This structure supports steady, meaningful progress over roughly nine months, while leaving room to adapt as priorities evolve. We generally recommend no more than eight cycles in a year (about 48 weeks of work), and clients always have the flexibility to pause, space out, or conclude cycles as needed. A typical annual investment for this kind of partnership falls between $50,000 and $60,000.
